The annual base salary range for this position:

zł69,600.00 - zł105,600.00

Individual pay will be based on various factors such as relevant work experience, education, certifications, skill level, seniority, and internal equity.

To perform scanning PDF and electronic invoices for Accounts Payable and other departments, ensuring accurate document capture, validation, and routing of invoices in compliance with company standards, SOX requirements, and agreed service levels.

Key Responsibilities

  • Perform invoice scanning and by uploading and managing PDF invoices in ERP and Ediwin systems
  • Conduct daily monitoring of Ediwin platform, including assignment and reassignment of invoices tagged as No-System
  • Manage invoice reception activities, ensuring correct routing and handling of incoming invoices
  • Handle manual checking of invoices, including sorting, folder allocation, and uploading/archiving in document management tools (e.g., OpentText)
  • Manage scanning mailbox (including Ediwin-related queries) and ensure prompt resolution of inquiries
  • Support classical invoice validation, including:
    • Validating invoices against vendor eligibility (DMT scope)
    • Checking vendor master data and classification (AP Operations scope)
  • Perform electronic invoice reconciliation, including handling of additional log files for reporting and BHS counting
  • Process invoice refusals and returns to vendors via Ediwin, ensuring proper communication and documentation
  • Maintain manual tracking logs for invoices received, providing accurate data for audit requirements
  • Ensure delivery in line with agreed global and local KPIs/SLAs
  • Ensure strict compliance with SOX rules, internal controls, and company policies
  • Support continuous improvement initiatives, focusing on process optimization, automation, and efficiency gains
  • Identify and recommend process improvement opportunities within Document Management Team
  • Promote and support a zero HSSE (Health, Safety, Security & Environment) mindset
  • Collaborate as an effective team player across AP, DMT, and relevant stakeholders
  • Maintain and implement an agreed self-development and learning plan
  • Ensure adherence to all relevant Shell and SSSC standards, procedures, and guidelines
  • Perform additional tasks or assignments as required by Line Managers
