Job Description

The Accounts Payable Manager is responsible for overseeing and monitoring the Accounts Payable function at ADT’s Boca Raton location. This role manages a team of 3 – 12 on-site employees, ensuring efficient, accurate, and timely processing of all account payable transactions. The Team Manager will be an individual who has proven themselves in the department as possessing enhanced technical knowledge and leadership skills.

Duties and Responsibilities:

  • Supervise, train, and evaluate a team of accounts payable professionals.
  • Distribute workload, set performance goals, and provide ongoing coaching and development.
  • Conduct written performance reviews for direct reports.
  • Lead recruitment, onboarding, and performance management for the AP team.
  • Foster a positive, collaborative, and accountable work environment.
  • Oversee end-to-end AP processes, including vendor maintenance, payment runs, and tax reporting including 1099s.
  • Ensure all invoices and payments are processed accurately, on time, and in compliance with ADT policies and regulatory requirements.
  • Communicate relevant information to leadership in a clear, concise, and organized fashion.
  • Develop, implement, and maintain AP systems, procedures, and policies.
  • Identify and implement opportunities for process automation and efficiency improvements.
  • Ensure compliance with tax regulations, internal controls, and audit requirements.
  • Collaborate with auditors and support internal/external audit requests.
  • Build and maintain strong relationships with vendors, internal departments, and external partners.
  • Resolve escalated vendor issues, discrepancies, or disputes.
  • Prepare and review key departmental reports, including invoice aging.
  • Drive continuous improvement.
  • Work closely with the AP Manager and internal Information Technology department on system configuration and transaction issues to ensure smooth AP operations.
  • Collaborate with staff on vendor escalations/reconciliation and drive resolution.

Skills and Competencies:

  • Currently 11 direct reports
  • Strong knowledge of AP processes, internal controls, and relevant accounting principles.
  • Provide metrics reports and analysis to Manager. Use Analytical abilities and independent thinking to identify problems and remediate solutions. Resolve higher level supplier account issues.
  • Provide coaching, mentoring, and feedback to team members to improve the handling of employee and supplier transactions, escalations, special handling, interpersonal relationships, or other situations to provide timely and high-quality customer support in response to AP questions from both internal and external sources.

  • Actively participate with AP Manager in improving department processes and managing multiple priorities.
  • Work closely with team members and peers to ensure open communication and consistency of workflow. Monitor workflow to ensure daily production requirements are being met. Being able to multitask.
  • Willingness to be flexible, adaptable, and open to driving change in the AP department.
  • Associate’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience).
  • 5+ years of accounts payable team lead experience.
  • Proficiency with Microsoft Copilot and other AI-enabled productivity tools.
  • Experience in a high-volume, fast-paced corporate environment.

Minimum Qualifications:

  • Associate’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience).
  • 5+ years of accounts payable team lead experience.

Preferred Qualifications:

  • Proficiency with Microsoft Copilot and other AI-enabled productivity tools.
  • Experience in a high-volume, fast-paced corporate environment.

Communication Skills:

  • Writing, Talking/Hearing on the phone (Continually=67-100% of workday)

Environment Requirements:

  • Our office currently follows 4 days onsite and 1-day remote schedule
