The Accounts Payable department is responsible for overseeing the processing of invoices for more than 1,200 ADI Net and Discount vendors, handling an average volume of approximately 60,000 invoices per month. The team ensures clear and effective communication with both internal and external stakeholders, focusing on building and maintaining strong business relationships.

JOB DUTIES:

  • Invoice Review and Processing
    • Manage the review and processing of invoices associated with employee benefits, statutory obligations, tax payments, government agencies, and Mexican suppliers in accordance with company policies and internal controls
    • Verify invoice accuracy, supporting documentation, payment terms, and accounting coding prior to processing.
    • Identify invoice discrepancies and coordinate corrections with vendors and internal departments prior to payment processing.
    • Review payment references, supporting calculations, and payment instructions before execution
    • Support accounts payable processing activities for both Mexico and Corporate operations as required.
  • CFDI and SAT Compliance Review
    • Review and validate CFDI invoices in compliance with SAT requirements and CFDI 4.0 regulations.
    • Validate XML files and ensure tax information, fiscal data, and invoice concepts are accurate and complete.
    • Maintain compliance with Mexican tax and electronic invoicing regulations.
  • Stakeholder Coordination
    • Partner closely with Tax, General Accounting, Payroll, Benefits, Treasury, and external vendors to resolve payment-related issues.
    • Provide support to Corporate AP teams and cross-functional stakeholders when needed.
    • Support month-end and year-end activities as required.
  • Accounting and Compliance Support
    • Apply knowledge of Mexican accounting principles related to accounts payable transactions.
    • Ensure compliance with internal controls, SOX requirements, and company policies.
    • Support internal and external audits by providing documentation and payment support.
  • Continuous Improvement
    • Identify opportunities to improve payment processes, controls, and efficiency.
    • Support automation initiatives and process standardization efforts across Mexico operations

YOU MUST HAVE:

  • 3+ years of experience in Accounts Payable/Finance
  • Experience processing Mexican vendor invoices.
  • Strong knowledge of CFDI 4.0, SAT regulations, and Mexican tax requirements (including CFDI validation, XML review, IVA, and ISR).
  • Intermediate to advanced Microsoft Excel skills.
  • Experience working with ERP systems (SAP, Oracle, JDE, P21, Epicor, etc.).
  • Intermediate English (written and verbal) with the ability to communicate effectively with U.S. corporate teams, along with strong analytical, organizational, and problem-solving skills.
