The Mission:
As an Accounts Payable Specialist, your primary objective is to serve as the transactional engine and vendor relations anchor of our Campbellsport Accounting team. You are responsible for processing high-volume vendor invoices, performing thorough three-way matching, managing weekly payment runs, and reconciling vendor statements with precision. As a key operational specialist reporting to the Controller at our Campbellsport, WI office, you ensure that our commitment to suppliers and partners is executed flawlessly, capturing early-payment discounts and protecting company assets.
Defining the Role:
- Invoice Entry & 3-Way Matching: Review, verify, and code incoming vendor invoices against purchase orders and receiving slips with rigorous accuracy.
- Disbursement Management: Prepare and process weekly check runs and electronic payments in compliance with company internal controls.
- Manage our company credit card program and expense coding.
- Statement Reconciliation: Reconcile monthly vendor statements against open AP balances, promptly addressing missing invoices or credit memos.
- Discrepancy Resolution: Collaborate with purchasing agents, category managers, and store operations to quickly resolve pricing and quantity variances.
- Compliance & Records: Maintain accurate vendor files, collect current W-9 forms, track certificates of insurance, and assist with year-end 1099 filings.
The Essentials:
- Relevant Experience: 2+ years of dedicated Accounts Payable or high-volume transactional accounting experience.
- AP Technical Mastery: Solid understanding of standard Accounts Payable workflows, three-way matching principles, chart of accounts coding, and ERP/accounting systems.
- Key Traits: Exceptional organizational skills, high attention to detail, strong problem-solving ability, and clear, professional communication skills.

Performance is measured by your direct impact on our disbursement accuracy, discount capture, and vendor trust:
- Discount Capture Rate: Consistently achieving prompt-pay discounts across all eligible supplier invoices.
- Payment Accuracy: Zero duplicate payments and clean, verified three-way match records.
- Vendor Statement Health: Timely monthly reconciliation of all active vendor accounts with zero unaddressed aging disputes.
- Workload Driver: The primary workload metric is the accurate, timely processing and disbursement of high-volume vendor invoices and weekly check runs.
