Job Description

General Description

The Accounts Payable Specialist is responsible for performing general AP duties within the Accounts Payable department.

Essential Job Functions:

  • Process and verify a high volume of invoices, ensuring accuracy and proper quotation.
  • Match invoices to open accruals and receiving documents.
  • Resolve invoice discrepancies with vendors and Operations departments.
  • Prepare and execute payments in the bank portal.
  • Reconcile vendor statements and maintain vendor accounts.
  • Manage vendor relationships and respond to inquiries in a timely and professional manner.
  • Assist with the month-end closing process by posting timely payment entries.
  • Maintain accurate and organized accounts payable records.
  • Assist with audits and provide necessary documentation.
  • Maintain petty cash and verify reimbursement vouchers before payment processing.
  • Responsible for timely and accurate processing of account payable duties
  • Processing invoices by entering them into accounting system and communicate with vendors and branches on issues.
  • Making copies of check runs and matching them to the appropriate invoice
  • Filing of processed invoices, checks and PO's
  • Perform research as needed
  • May perform other duties as assigned

Other Skills and Abilities:

  • Proficiency with accounting software (preferably Sage Accpac).
  • Understanding of basic accounting principles.
  • Experience in the freight forwarding industry and knowledge of Incoterms.
  • Good knowledge of TDS and GST regulations.
  • Strong verbal and written communication skills.
  • Ability to work independently as well as collaboratively within a team.
  • Proficiency in Microsoft Office, especially Excel.
