Primary Purpose of this Position:
Responsible for processing and maintaining accounts payable functions in an accurate, timely, and organized manner while supporting company operations, vendor relationships, and financial compliance requirements. This role works closely with project managers, employees, vendors, and internal departments to ensure invoices, approvals, and payments are processed efficiently and according to company policies and procedures.
This position also supports accounting operations through communication, problem-solving, process coordination, and other accounting-related tasks as assigned.
Essential Job Functions:
- Process vendor invoices accurately and timely in accordance with company procedures and approval requirements.
- Work with project managers, employees, and department leaders to obtain invoice approvals and supporting documentation.
- Monitor and maintain accounts payable records and vendor files.
- Process credit card statements, receipts, reconciliations, and supporting documentation.
- Utilize accounting and AI-related systems to support invoice processing and workflow efficiencies.
- Monitor and manage pay-when-paid holds and communicate with internal departments regarding payment status and requirements.
- Set up and maintain vendor accounts, including required tax and compliance documentation.
- Support sales tax and use tax compliance activities and maintain related records as required.
- Prepare and process checks, ACH payments, and other internal payment requests as needed.
- Communicate professionally with vendors and internal departments regarding invoice status, payment inquiries, discrepancies, and other accounting matters.
- Attend accounting and departmental meetings as required.
- Assist with maintaining organized accounting documentation and electronic filing systems.
- Support accounting process improvements, internal controls, and departmental efficiency initiatives.
- Perform additional accounting, administrative, and support tasks as assigned.

- Strong computer skills including spreadsheets, accounting software, email, and document management systems.
- Ability to identify discrepancies and resolve issues in an organized and professional manner.
- Team-oriented mindset with the ability to collaborate effectively across departments.
- Desire to learn, grow, and support continuous improvement within the accounting department.
Physical Demands:
- Stand OCCASIONALLY over the course of the 8 to 12 hour work shift.
- Walk OCCASIONALLY over the course of the 8 to 12 hour work shift. The distances walked will range from a distance of a few feet to several hundred feet.
- Sit FREQUENTLY to CONTINUOUSLY over the course of the 8 to 12 hour work shift.
- Lift weights up to 30 pounds OCCASIONALLY from floor to head level, which includes various files, office supplies, and accounting materials utilized to perform job duties.
- Lift weights up to 50 pounds RARELY to OCCASIONALLY from floor to chest level, which may include boxes of files or office materials.
- Carry weights noted above distances ranging from a few feet to several hundred feet.
- Gross finger dexterity skills required operating computers and office equipment utilized in the course of standard job duties.
- Handling Demands
- Employee is expected to work 40 hours a week.  However, hours including overtime and weekends may be required based on Drake-Williams Steel’s needs.
- Hear sufficiently to be aware of safety issues
- Visual ability to read and interpret materials to satisfactorily do job.
- Exposure to heat, cold, wet and humid conditions OCCASIONALLY.
- Exposure to fumes, odors and dusts  OCCASIONALLY.
- Exposure to solvents, greases, oils, and coolants OCCASIONALLY.
- Wear all required Personal Protective Equipment when entering production or operational areas.  PPE includes steel-toe safety shoes, hearing protection, safety glasses, gloves, and hard hats.
Tools Required:
Computers, scanners, printers, calculators, accounting software, AI workflow systems, and other miscellaneous office supplies.
Experience and Education Required:
- High school diploma or equivalent required; associate degree or accounting-related coursework preferred.
- Minimum of two years of experience in accounts payable, accounting, or office administration preferred.
- Experience working with spreadsheets and office systems required.
- Experience working with accounting software, preferred.
