Key Responsibilities:
Set up and maintain vendor profiles, including ACH payment information and W9s.
Process vendor invoices accurately, ensuring proper coding and approvals; reconcile vendor statements and resolve discrepancies.
Serve as a point of contact for vendors regarding invoice discrepancies, payment status, and credit memos, ensuring timely resolution and maintaining positive vendor relationships.
Review and process employee expense reimbursements to ensure compliance with company policy and timely payment.
Manage regular payment runs (bi-weekly or as scheduled).
Maintain organized A/P records and support month-end close; manage A/P aging.
Provide support to the Finance team by preparing and maintaining recurring monthly reports utilizing Microsoft Excel, including functions such as pivot tables and VLOOKUP.
Assist with audit-related documentation requests and other ad-hoc business needs.
Qualifications:
1-2+ years of experience in Accounts Payable or a related accounting role; bachelor’s degree in finance, accounting or related field preferred.
High attention to detail and commitment to accuracy.
Trustworthy and dependable—comfortable handling sensitive financial data.
Self-starter who takes initiative and doesn’t need micromanagement.
Strong communication, organizational and time management skills.
Adaptable and flexible—comfortable working in a dynamic startup environment.
Proficiency in Excel; familiarity with QuickBooks a plus.
