The Accounts Payable Specialist ensures accurate and timely processing of supplier invoices, employee expense claims, and other payable transactions. They support internal teams and external vendors to ensure expenses are recorded correctly, cash resources are managed effectively, and financial reporting is complete and reliable. Key Impact / Purpose

  • Ensure accurate, timely, and compliant processing of accounts payable transactions
  • Support effective cash management and month‑end close activities
  • Strengthen relationships with vendors and internal stakeholders through clear, professional communication
  • Contribute to continuous improvement of accounts payable processes and controls

Duties and Responsibilities: 

  • Collect and organize vendor invoices for entry into NetSuite
  • Review, verify, and process supplier invoices, ensuring accurate coding, approvals, and compliance with company policies
  • Match invoices to purchase orders; investigate discrepancies and resolve issues promptly
  • Review and process employee expense claims in accordance with company expense policies
  • Assist with cheque runs, including monitoring cash requirement reports and preparing supporting documentation
  • Complete monthly reconciliations of corporate credit cards
  • Communicate with vendors and internal stakeholders throughout the accounts payable cycle
  • Reconcile vendor statements and follow up to resolve discrepancies
  • Monitor and analyze accounts payable activity and balances
  • Participate in month‑end procedures related to accounts payable
  • Ensure compliance with internal controls, accounting standards, and regulatory requirements (e.g., HST/GST)
  • Identify opportunities for process improvements and support the implementation of best practices

Must haves:  

  • 2–4 years of experience in accounts payable or a similar accounting role
  • Diploma or degree in Accounting, Finance, or a related field (or equivalent experience)
  • Strong knowledge of accounts payable processes and accounting principles
  • High attention to detail with strong organizational and time‑management skills
  • Proficiency in Microsoft Excel and other MS Office applications
  • Strong communication and interpersonal skills
  • Ability to manage multiple priorities in a fast‑paced environment
  • Familiarity with sales tax and HST/GST treatment

Nice to haves:

  • Experience working with NetSuite or a similar ERP system
  • Experience managing high volumes of financial data and reporting
  • Continuous improvement mindset with openness to process change

This is a replacement position. Expected annual compensation; $48,000 - $60,000.
