This is an opportunity to contribute to efficient financial operations while helping improve processes and systems.

Key Responsibilities:

Accounts Payable

  • Monitor outstanding invoices, payment schedules, and accounts payable aging.

Purchasing & Vendor Management

  • Track outstanding purchase orders and commitments and follow up on pending items.
  • Support purchasing platforms and corporate card processes.
  • Maintain vendor records and collect required documentation, including W-9s, contracts, agreements, business associate agreements, confidentiality agreements, and certificates of insurance, as applicable.
  • Communicate with vendors and internal departments to resolve purchasing and payment issues.
  • Help maintain appropriate controls over vendor setup and changes to vendor banking information.

Financial Reporting & Process Improvement

  • Assist with month-end accounts payable close activities, including accruals, reconciliations, and reporting.
  • Prepare accounts payable reports and support audit requests and documentation.
  • Identify exceptions, missing approvals, and other issues requiring follow-up or escalation.
  • Support the implementation and improvement of accounts payable and purchasing workflows within the organization's financial systems.
  • Help develop and maintain procedures, process documentation, and user guidance to improve consistency and efficiency.

Qualifications

  • Associate degree in accounting, finance, business, or a related field preferred; relevant experience may be considered in place of a degree.
  • Two to five years of experience in accounts payable, purchasing, procurement, or a related financial operations role.
  • Experience processing invoices, coordinating payments, maintaining vendor records, and resolving discrepancies.
  • Familiarity with purchase orders, purchasing approvals, vendor documentation, and internal financial controls.
  • Experience using an ERP, accounting, or accounts payable workflow system.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities.
  • Effective written and verbal communication skills, with a customer-service-oriented approach to working with vendors and internal colleagues.
  • Ability to recognize unusual transactions, documentation gaps, or control exceptions and escalate concerns appropriately.
  • Interest in improving processes and supporting the effective use of financial systems.
