Accounts Payable & Payroll Specialist

Position Details:
Salary Range: $62,000 - $71,000 - Full-Time, Exempt
- 40 hours per week
- Fully Onsite Position in Hayward, CA
Essential Job Responsibilities:
Accounts Payable (AP)
- Manage the accounts payable ensuring timely approval and payment of invoices
- Manage the corporate card and expense reimbursements, ensuring proper documentation and approval
- Review AP Aging report and reconcile open payables at month-end
- Reconcile vendor statements and resolve discrepancies promptly
- Maintain organized and accurate AP records and supporting documentation
- Collect and maintain vendor Form W-9 and prepare Form 1099s at year-end
Payroll
- Process and analyze payroll data for hourly employees, faculty and student workers, to produce accurate and timely payroll
- Maintain confidential employee records, including wages, deductions, benefits, PTO and tax information
- Ensure compliance with federal, state, and local payroll laws and regulations
- Resolve payroll discrepancies and respond to employee payroll inquiries in a timely manner
- Ensure timely deposits of employee paycheck deductions, such as union dues
- Crosstrain as backup to the Sr Accountant & Payroll Specialist for payroll and related duties
General Accounting
- Assist with month-end and year-end closing activities
- Prepare monthly Work Study reports and record necessary FWS-IWS journal entries
- Support audits by providing payroll and AP documentation
- Handle ad hoc financial reports and related duties as requested
Qualifications:
- Bachelor’s degree, preferably in Accounting or Finance
- 1-3 years of experience in accounts payable and/or payroll processing
- Experience with accounting and/or payroll systems such as Paycom, ADP, or Great Plains is a plus
- Proficiency in Microsoft Excel, with a solid working knowledge of spreadsheets and basic functions
- High degree of integrity, strong work ethics and attention to details
- Ability to organize and prioritize assignments in a multi-task environment
- Ability to handle confidential and sensitive information with discretion
- Effective communication and interpersonal skills
