POSITION SUMMARY

The Accounts Payable Officer is responsible for receiving, reviewing, processing, and reconciling supplier invoices and payments while maintaining accurate financial records and supporting month-end reporting activities. The role requires strong attention to detail, accuracy, confidentiality, and adherence to internal controls and accounting standards. The successful candidate will work collaboratively with internal departments and external vendors to ensure timely and compliant financial operations.

KEY RESPONSIBLITIES

  • Process supplier invoices, statements, and payment requests accurately and in accordance with company policies and approval procedures.
  • Verify invoices for mathematical accuracy, supporting documentation, correct coding, and appropriate authorization prior to processing.
  • Prepare and process payments to suppliers and service providers in a timely manner.
  • Maintain accurate accounts payable records, filing systems, and financial documentation.
  • Reconcile supplier statements and investigate discrepancies to ensure accounts remain current and accurate.
  • Assist with maintaining accounting ledgers and posting financial transactions in accounting systems.
  • Support weekly payment runs and payment reconciliations in accordance with established procedures.
  • Respond professionally and promptly to supplier and internal accounts payable enquiries.
  • Assist with month-end closing activities, accruals, reconciliations, and financial reporting requirements.
  • Maintain accurate spreadsheets, financial records, and supporting documentation for audit and compliance purposes.
  • Collaborate with purchasing, receiving, and operational departments to ensure the accurate processing of goods and services received.
  • Support the Finance Team in achieving departmental objectives, maintaining strong internal controls, and meeting reporting deadlines.
  • Ensure compliance with company policies, accounting procedures, workplace health and safety requirements, and confidentiality standards.

PREFERRED QUALIFICATIONS

  • Tertiary qualifications in Accounting, Finance, Business, or a related field is desirable.
  • Minimum of one (1) year of experience in Accounts Payable, Finance, Accounting, or a similar role.
  • Previous experience within the hospitality industry would be an advantage.
  • Sound understanding of accounts payable processes, reconciliations, and financial controls.
  • Proficiency in Microsoft Office applications, particularly Excel, and experience using financial or accounting systems.
  • Strong numerical, analytical, and problem-solving skills with exceptional attention to detail.
  • Ability to maintain confidentiality and handle sensitive financial information with professionalism and integrity.
  • Strong organizational and time management skills with the ability to meet deadlines in a fast-paced environment.
  • Effective written and verbal communication skills with the ability to build positive relationships with suppliers and internal stakeholders.
  • Ability to work both independently and collaboratively within a team environment.
  • Demonstrated commitment to accuracy, accountability, and continuous improvement.
