As an Accounts Payable Helpdesk AI Steward, you will collaborate with AI-enabled tools and agents to manage supplier inquiries, resolve exceptions, and ensure high-quality Accounts Payable service delivery. You will play a key role in monitoring AI-supported processes, intervening where needed, and driving continuous improvement in AI-driven Accounts Payable operations.

You will work closely with suppliers, internal stakeholders, and digital solutions while reporting to the AP Team Leader. This position follows a hybrid work model based in Katowice.

Your Responsibilities:

• AI-Supported Supplier Inquiry Management: Partner with AI agents to monitor and manage supplier inquiries related to payments, invoices, and account status, ensuring timely and accurate responses across channels (email, helpdesk, automation platforms).
• Exception Handling & Resolution: Identify and resolve complex or escalated cases not handled by AI, including discrepancies, payment issues, and invoice processing exceptions.
• Service Quality Monitoring: Track and evaluate the performance and accuracy of AI-driven support processes, ensuring compliance with service levels and quality standards.
• Process Optimization & Continuous Improvement: Analyze trends, identify improvement opportunities, and contribute to enhancement of AI workflows, automation rules, and overall AP support processes.
• Account Reconciliation: Oversee and support reconciliation of supplier statements, ensuring discrepancies are resolved efficiently using both AI insights and manual expertise.
• Documentation & Data Integrity: Ensure accurate documentation of interactions, resolutions, and system updates, maintaining high data quality and compliance with internal policies.
• Business Partner Communication Collaborate with suppliers, procurement, finance teams, and digital/IT teams to ensure seamless issue resolution and continuous process alignment.
• Compliance & Governance Ensure all activities performed - including AI-assisted processes - adhere to internal controls, policies, and regulatory requirements.

The Essentials - You Will Have:

• High School diploma

The Preferred - You Might Also Have:

• Flunecy in English
• Spanish knowledge - value added
• 1 year of relevant experience - Accounts Payable or Continuous Improvement/AI
• Knowledge of MS Office
• SAP knowledge would be advantage,
• Willingness to work on different shifts (07.30 – 15.30, 14.00 – 22.00).
