This position manages and processes company invoices and payments, ensuring accuracy, timeliness, and compliance with financial policies.

The typical schedule is Monday - Friday 8:00 AM - 4:30 PM

DUTIES AND/OR RESPONSIBILITIES (summary of components that make up the job)

  1. Matches purchase orders to invoices.
  2. Scans, indexes and determines owner of invoices as well as assists team in resolving invoice issues.
  3. Maintains hired trucker haul sheets and matches with invoices.
  4. Verifies general ledger coding, invoice approvals and invoice amounts including correct pricing and taxation.
  5. Complete Credit Applications with vendors.
  6. Onboard vendors to electronic payment system.
  7. Prepares invoice batches and enters data into accounting system.
  8. Answers all vendor inquiries.
  9. Prepares and mails accounts payable checks/generate EFT file on weekly basis.
  10. Runs all accounts payable reports and maintains files.
  11. Prepares analysis of accounts, assorted accruals, monthly reconciliations and audit requests as required.
  12. Assist with month end close for AP assigned tasks.
  13. Obtains and maintains vendor W-9 forms.
  14. Prepares 1099’s
  15. Other duties consistent with the qualifications of this position may be assigned as needed.
  16. Performs other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES (types and extent of knowledge, skills or abilities an incumbent must possess to complete the job responsibilities satisfactorily)

  1. Excellent written and verbal communication skills.
  2. Strong organizational skills.
  3. Knowledge of MS Office (Word, Excel, Outlook) and Adobe Acrobat.

MINIMUM REQUIREMENTS (minimum educational, experience, or other relevant job requirements)

  1. High school diploma or general education degree (GED)
  2. Two years of college, post high school training, or previous AP experience
  3. Fluent with Microsoft Office products
