Salary Range: $54,684.22 to $61,647.97 per annum

We are seeking an Accounts Payable Clerk to join our team in  VICTORIA, British Columbia, Canada.

The Accounts Payable Clerk services five pension plans and the Pension Corporation. This position is responsible for processing corporate disbursements, ensuring they are transacted in accordance with administration policies and procedures, and preparing and reconciling accounting entries and reports.

Hybrid Work Model

This position is located in our Victoria, BC office. You will have the flexibility to work part of the time on-campus and part of the time off-campus. The requirement for on-campus presence is a minimum of 40% of your schedule in a month.

Additional requirements are determined by the role functions and operational needs of each business area.

Processes various accounts payable transactions such as corporate and Plans expenditures, employee and board travel and expense claims and board remunerations for trustee, and other CRA and benefits remittances:

  • Ensures expenditures are classified to correct expenditure type account for compliance with accounting standards.
  • Reviews supporting documentation and spending authority ensuring compliance with corporate and pension plans financial policies and procedures.
  • Reconciles invoices and ensures expenditures are coded to appropriate cost center, expenditure type account, project number, pension plan and supplier.
  • Reviews payable transaction to ensures GST, PST, HST and withholding taxes are remitted appropriately in compliance with CRA tax policy.
  • Posts payable transactions into the general ledger and prepares disbursement vouchers.
  • Creates and send out email payment remittances to vendors, employees and board members.


Administers the Corporate Credit Card Program:

  • Handles the card application process, card usage, delinquency management, and accounting of credit card transactions.
  • Prepares and reconciles MasterCard transactions and uploads files to financial system.
  • Reconcile Corporate credit card account monthly balances.
  • Reviews payments approval, reporting and data analytics on merchants.


Reconciles accounting entries and reports:

  • Reconciles transactions input into the general ledger and financial system.
  • Prepares aging reports to monitor overdue invoices and expenses.
  • Reconciles processed work by verifying entries and comparing system reports to balances.
  • Reviews employee claims by recording and verifying expense reports using financial system.
  • Verifies vendor account statements and related payment transactions.


Performs other payable services to a variety of clients:

  • Provides information and guidance to employees and board of trustees on business and travel policies and procedures.
  • Responds to and resolves payment issues involving communication with business areas.
  • Works with vendors for invoice and payment matters.
  • Manages system approval workflow for payments.


Contributes and participates in a team environment:

  • Covers duties of other clerks to accommodate schedule changes and vacation.
  • Provides cross-training on accounts payable responsibilities.
  • Participate in special projects as required.
  • Support in computer system maintenance and implementations.
  • Other related accounts payable duties, as assigned.

Must have

  • High School Diploma.
  • A minimum of two years of related experience and/or training; or an equivalent combination of relevant education and experience.
  • Demonstrated experience using Microsoft Office applications, including Word and Excel.

Nice to have

  • Formal computer and accounting courses at the post-secondary level is preferred.
  • Experience working in public sector is preferred.
  • Experience working with Oracle Fusion is preferred.

Knowledge, Skills and Abilities

  • Knowledge of generally accepted accounting principles and practices is preferred.
  • Ability to organize and independently manage workload with changing priorities, tight deadlines, and high volumes.
  • Ability to use computer applications to enter, retrieve data, and perform accounting functions.
  • Ability to analyze, track, verify and reconcile financial records and reports within guidelines.
  • Strong attention to detail.
