Job Description

BIOVAC is one of the leading sterile vaccine manufacturers rooted in Africa, with our core purpose being to "protect life". We are looking to hire a dynamic, passionate, confident, proactive and meticulous Accounts Payable and Accounts Receivable to join a goal-oriented team!

QUALIFICATIONS NEEDED:

Required:

  • At least 5 years' experience within a similar role.
  • Bookkeeping diploma or degree with accounting as subject.

Preferred:

  • Bookkeeping to trial balance
  • At least 2 years' experience at supervisory level.

Experience needed to deliver the role seamlessly:

Required:

  • Computer literacy with advanced excel skills.
  • Strong reconciliation skills.
  • Banking and accounts administration experience.
  • Previous experience on ERP System (Business Central and SAP will be advantageous)

KEY DUTIES & RESPONSIBILITIES OF THE ROLE:

Core technical deliveries

  • Ensure the production of timeous and accurate month‐end accounts.
  • Ensure that the creditors and debtors ledger agree to the creditors control account.
  • Ensure that documents are processed daily.
  • Review creditor's reconciliations against creditors Age Analysis and resolve all outstanding items on the age analysis
  • Ensure that suppliers are paid on the last working day of month
  • Manage accounts payable process; ensure that payments are made only when accounts are due as per the agreed upon terms with vendor.
  • Review and control of the reconciliation of the cash book daily.
  • Reconcile debtors and creditors ledgers such that related items are set off and the debtors and creditors ledgers are clean.
  • Review debt collections monthly and monitor significant customers, clearing long outstanding debts.
  • Manage accounts receivable, ensure that debtors days are kept at 45 days or lower · Perform monthly intercompany balance recons
  • Prepare the VAT report from relevant ERP system with supporting documentation to facilitate the submission of VAT to SARS
  • Ensure that all balance sheet GL accounts are reconciled and verified ‐ 100% accurate · Accurate journals done monthly.
  • Update assets register monthly on Business Central and run monthly depreciation.
  • Review income statement accounts monthly for reasonability and correct any posting errors within that month.
  • Compare budget versus actuals monthly and escalate issues to FM
  • Prepare management report monthly.
  • Oversight of forex supplied to travellers and subsistence allowances.
  • Audit contribution in terms of preparation of accounts and supporting schedules and to assist the auditors with their audit procedures.
  • Provide inputs into the cash flow forecast.
  • Ensure filing of all documents monthly as per the agreed electronic standard

Management of the Accounts Payable and Accounts Receivable Teams:

  • Responsible for the day-to-day activities of Accounts Payable and Account Receivable teams including performance management.
  • Responsible for the day-to-day activities of debtor's team & creditors team
  • Monitor and report the debtor's team & creditors processing and service delivery targets.
  • Responsible for contributing to training and development of the debtor's team & creditors team.
  • To ensure the smooth running of the of the debtor's team & creditors team
  • Responsible for the performance and development of team members

Debtors Management:

  • Review of debtor month end reports and age analysis and reconcile to trial balance
  • Review Processing of Finance Invoices and Credit Notes.
  • Manage reporting to Department of Health
  • Identify Bad debts at year end and consult with Finance Manager to write off bad debts.
  • Review Salary Cross charges invoices.
  • Review and authorize Packaging charges as per feedback from Supply Chain
  • Review Distribution charges and maintain schedule to balance to purchase listing
  • Escalation of outstanding collections
  • Reporting on collection trends

Creditors Management:

  • Review of Supplier Reconciliations Balance Creditors Control Account
  • Monthly address variances with the team.
  • Review Payment Batch and Authorize on Nedbank where no single payment is more than R3M.
  • Review and management Overseas Suppliers relating processing of the vendor invoices and proactive management of outstanding EOI's for prepayments.
  • Review monthly accrual schedule and authorize Journal posting
  • Perform and review creditors age analysis, agreeing to trial balance monthly and follow up on long outstanding invoices.

Biovac was founded in 2003 to revive and restore South Africa’s vaccine manufacturing capabilities. We are an African based manufacturer contributing towards filling the gap that exists in the lack of African vaccine manufacturing capability.

We manufacture highly advanced vaccines on behalf of leading international biopharmaceutical companies. Biovac is licensed to manufacture a fully liquid hexavalent vaccine from Sanofi that targets and protects against six childhood diseases. In 2021, we envisage to start the manufacture of a multivalent pneumococcal conjugate vaccine from Pfizer.

We supply over 15-million doses of vaccines a year in South Africa and neighbouring countries under strict cold chain conditions.

We have built inhouse product development capability and technologies and have successfully out-licensed one of our technologies to international manufacturers. We are working to establish new safeguards against pathogens like group B streptococcus bacteria, a rising cause of sepsis and meningitis in newborns.

To do this vital work, we rely on sophisticated technology and, above all, the skills and dedication of more than 350 highly trained team members. Along with our partners, we’ve invested over R800 million in infrastructure and skills development at our manufacturing facilities in Cape Town. These investments are resulting in estimated benefits of more than R500-million a year to the national economy.
