Job Description

Major Responsibilities

  1. Full-cycle AP Accounting and Month-end Close
  • Manage full-cycle AP operations including invoice review, purchase order matching, receiving confirmation, AP posting, payment clearing, account adjustment and month-end closing activities.
  • Process supplier invoices and AP accounting entries in accordance with company financial policies, tax requirements and accounting standards.
  • Perform AP reconciliation, review open items and abnormal balances, and ensure AP subledger, accrual balances and general ledger records are accurate and consistent.
  1. Invoice, PO and Goods Receipt Matching
  • Review and reconcile supplier invoices, purchase orders and receiving reports to ensure invoice accuracy, completeness and proper approval before posting or payment.
  • Follow up unmatched invoices, missing goods/service receipt confirmations and pending approvals with Procurement and business departments.
  • Verify VAT invoice information and supporting documents to ensure invoice compliance and readiness for tax and audit review.
  1. Employee Expense Review and Helios Management
  • Review employee expense reimbursement claims in Helios, ensuring compliance with company policies, approval requirements, tax rules and supporting document standards.
  • Review business entertainment, travel, training, marketing activities, employee welfare and other operating expense claims, and provide guidance to users on reimbursement requirements.
  • Support continuous improvement of the expense review process, system settings and reimbursement templates to improve efficiency and control quality.
  1. Payment Management and Cash Flow Support
  • Review payment requests and supporting documents for domestic and overseas payments, ensuring proper approval, document completeness and compliance with finance, tax and foreign exchange requirements.
  • Support payment file preparation, payment status tracking, payment clearing and vendor inquiry follow-up.
  • Assist in preparing payment schedules and cash flow forecasts to support treasury planning and working capital management.

Qualifications

  • Education: Bachelor degree or above in Finance, Accounting, Auditing or related discipline.
  • Experience: Minimum 1 year of AP, expense management, AR or relevant finance experience. Strong internship experience may also be considered for outstanding graduates. Experience in a multinational company or manufacturing environment is preferred.
  • Knowledge and Hard Skills: Good understanding of AP accounting, Procure-to-Pay process, invoice review, VAT invoice requirements, payment process, AP accruals, vendor reconciliation and month-end close. Hands-on experience with SAP, D365, BI, Helios and Excel is preferred.
  • Behavioral Attributes: Strong ownership, attention to detail, internal control mindset, data analysis capability, cross-functional communication skills and ability to drive issue closure in a multi-entity and multi-system environment.
