Accounts Payable Associate
The Accounts Payable Associate is responsible for accurately processing invoices, maintaining vendor accounts, reconciling statements, and ensuring timely payment of dealership expenses. This position works closely with accounting, parts, service, sales, and management teams to maintain accurate financial records and support the dealership’s overall accounting operations.
The ideal candidate is detail-oriented, organized, dependable, and comfortable working in a fast-paced automotive dealership environment.
Responsibilities
- Receive, review, code, and process vendor invoices and supporting documentation.
- Enter invoices and payments accurately into the dealership accounting system.
- Match invoices with purchase orders, receiving documents, and other supporting records when applicable.
- Verify pricing, quantities, tax, payment terms, and appropriate general ledger accounts.
- Process invoices related to parts, service, vehicle inventory, utilities, advertising, facility expenses, and other dealership operations.
- Maintain accurate vendor records, including contact information, payment terms, and tax documentation.
- Reconcile vendor statements and research discrepancies or outstanding balances.
- Prepare and process weekly or scheduled vendor payments according to dealership policies.
- Monitor accounts payable aging and follow up on past-due or disputed invoices.
- Respond to vendor inquiries and resolve billing and payment issues professionally.
- Assist with month-end closing activities, including accruals, account reconciliations, and AP reporting.
- Assist with bank, credit card, and other account reconciliations as assigned.
- Ensure invoices are properly approved and supported before payment.
Requirements
- High school diploma or equivalent required; accounting coursework or an associate degree is a plus.
- 1–3 years of accounts payable, accounting, or bookkeeping experience required.
- Automotive dealership accounting experience is preferred but not required.
- Proficiency with Microsoft Excel and other Microsoft Office applications.
- Experience with dealership management or accounting software is a plus.
