We have an exciting opportunity for a talented and efficient Accounts Payable to join our team and help deliver high-quality administrative support that enhances the overall effectiveness of the Mobility team.
What You'll Be Doing | Mō te Tūranga
Ensure all contractor claim forms and invoices are processed and paid accurately each month.
Review emails and invoices related to prior month activity, ensuring all required documentation is complete and payments are made in line with contract agreements.
Manage all pay cycles within the month to ensure all contractors are paid in a timely manner
Identify transactional discrepancies and collaborate with the Mobility team & AA Call Centre Team Managers to resolve any ongoing issues
Escalate unresolved or recurring issues during the monthly Contractor Management and AA Plus meetings
Verify that invoiced rates align with agreed rate schedules, including validation of location breakdowns vs. charged kilometres
Identify cancelled /de-allocated jobs and other exceptions when reconciling invoiced amount
Reconcile and process AAPlus reimbursement payments for approval in accordance with AAPlus guidelines
Maintain accurate monthly filing and documentation of contractor invoices and relevant communications
Act as a central point of contact by liaising regularly with contractors, Delivery Managers, and Contractor Management teams to support administrative requirements.
Respond to queries and provide accurate information to contractors and relevant stakeholders, minimising repeat queries
Maintain and update business documentation relating to contractor invoicing, BVS client billing and recovery processes
Preform routine maintenance and update of relevant databases to ensure data accuracy
Perform monthly variance analysis comparing forecasted and actual payment data, provide clear explanations for discrepancies, and assign follow-up actions to the appropriate departments.
About You | Mōu
To be successful in this role you will have the following qualifications and experience:
Minimum of 3+ years’ experience in Accounts Payable and/or Accounts Receivable
Relevant tertiary qualification and/or demonstrated ongoing professional development or work-related training
Intermediate to advanced proficiency in Microsoft Office applications, including Word, Excel, and Outlook
Experience with Finance One, AS400 or or similar large-scale financial systems (advantageous)
Strong organisational skills, with the ability to manage multiple priorities effectively
High level of accuracy and attention to detail
Well-developed interpersonal and communication skills
