Accounts Assistant (Aged Care and NDIS)

The Role

We are seeking an Accounts Assistant to support the financial integrity of our services and ensure the accurate and timely processing of NDIS and Aged Care claims, billing, and invoicing activities.

Working closely with Care Partners, Rostering, Support at Home teams, Service Managers, and Finance, you will play a key role in ensuring services delivered are accurately captured, compliant with pricing Arrangements, and translated into seamless revenue processes. This position also supports reporting, system improvements, and data-driven insights to enhance billing performance and operational efficiency.

Key Responsibilities

NDIS Billing & Claims Management

  • Accurately process and submit NDIS claims through the NDIS portal.
  • Ensure services are correctly coded and aligned with NDIS Pricing Arrangements and Price Limits.
  • Review and resolve rejected, cancelled, or underpaid claims.
  • Monitor outstanding claims and proactively resolve billing issues.

Accounts & Financial Processing

  • Prepare and issue invoices to participants, plan managers, and funding bodies.
  • Reconcile payments and maintain accurate debtor records.
  • Support month-end revenue reconciliation and reporting activities.
  • Assist with follow-up and management of outstanding accounts.

Compliance & Quality Assurance

  • Ensure billing activities comply with NDIS and Aged Care guidelines, audit requirements, and internal policies.
  • Maintain accurate and audit-ready financial records.
  • Support internal and external audits and identify any compliance risks.

Systems, Reporting & Continuous Improvement

  • Utilise finance, CRM, and rostering systems to ensure billing accuracy.
  • Support dashboard development and reporting using Power BI or similar tools.
  • Analyse data to identify trends, claim issues, and opportunities for improvement.
  • Collaborate with internal stakeholders to improve system integration and billing processes.

Stakeholder Support

  • Partner with Care Partners, Service Managers, Rostering, and Support at Home teams to ensure accurate service capture.
  • Provide guidance on billable services under NDIS guidelines.
  • Respond to billing queries professionally and contribute to continuous improvement initiatives.

About You

  • Relevant tertiary qualification in Accounting, Business, Disability, Social Work, or a related discipline.
  • Demonstrated experience in NDIS billing, healthcare billing, accounts receivable, or a similar finance-related role.
  • Strong knowledge of the NDIS framework, Pricing Arrangements, and operational guidelines.
  • Experience using accounting and billing systems such as Xero, MYOB, or NDIS CRM platforms.
  • Experience with reporting tools such as Power BI or similar platforms is highly desirable.
