General Statement of Job

The Accounting Specialist assists with various accounting functions in the General Accounting area of the Business Office. Responsible for recording, reviewing, reconciling, analyzing, and reporting donations, interlocal agreements, bonds, specific revenue and expense accounts, and interdepartmental transactions. Assist other staff in preparing procedures, Power Point presentations, board motions, financial statement, statistical tables, and financial audits.

Specific Duties and Responsibilities

Essential Functions:

  • Perform interlocal agreement functions, including budget projections expense analysis, and reconciliations, and assist with preparing monthly reports and invoices required by the funding agency.
  • Prepare journal entries to recognize revenues from donations received for Creating Magic and other contributions. Ensure that donation forms are completed before the
    journal entry is posted to the general ledger.
  • Prepare and analyze assigned monthly revenue reconciliations and reports, including trend reports for analytical review.
  • Review Interdepartmental Transactions before they are submitted for posting to the general ledger.
  • Prepare PowerPoint presentations and procedures/processes for donations and interdepartmental transactions.
  • Prepare and reconcile assigned Construction reports.
  • Assist with the maintenance of the lease’s data maintenance software.
  • Develop and implement procedures and internal control measures.
  • Ensure adherence to state and federal guidelines, laws and regulations, and College policies, procedures, and guidelines.
  • Keeps abreast of changes in IRS on Charitable contributions and accounting changes.
  • Assists in preparing and reviewing audit items. Prepares statistical tables, audit documentation, financial reports, financial notes, and financial surveys as needed for internal and external audits.
  • Carries out duties and responsibilities with limited supervision. Makes decisions and establishes work priorities on essential procedure-oriented operations.
  • Cross-trains other staff and maintains working knowledge of different duties when assigned as a secondary role.
  • Assist accountants and accounting assistants as needed.
  • Performs other duties as assigned.

Required Education and Experience

  • Bachelor’s degree required. An Accounting or Finance degree is preferred.

  • At least two (2) years of accounting experience required.

  • Experience in a higher education institution, preferred.

Required Knowledge, Skills and Abilities

  • Excellent oral, written and interpersonal communication skills.

  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.

  • Knowledge and understanding of accounting principles and practices to include complex calculations across multiple funding sources and the ability to prepare and present financial analysis of funds in a clear and concise manner.

  • Proficient with ten key by touch.

  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.

  • Ability to work independently as well as a team player within department and with others.

  • Ability to work evenings and/or weekends as needed; willing to travel throughout the college district using own means of reliable transportation.

  • Demonstrated commitment to achieving the vision and mission of South Texas College.

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

  • Ability to write reports, business correspondence, and procedure manuals.

  • Ability to effectively present information and respond to inquiries from groups of managers, faculty, staff, customers, and the general public.

  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Checks, Certificates, Licenses, and Registrations

  • Security Sensitive position: All applicants are subject to a criminal background check under South Texas College policy.

  • Must have or qualify for a valid Texas driver's license and proof of liability insurance.

Physical Requirements

  • Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.

  • Sitting particularly for sustained periods of time.

  • Bending body downward and forward by bending spine at the waist. Occurs to a considerable degree and requires full motion of the lower extremities and back muscles.

  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.

  • Mobility to accomplish tasks, particularly for long distances or moving from one work site to another.
