Job Summary: The overall purpose of this position is to provide financial and accounting support to the Staff Director of Finance and Business Operations. The incumbent in this position is primarily responsible for assisting with timely financial reporting the Society Leadership, including its conference leadership, ensure compliance with internal and external regulations, policies and procedures, and provide consultation to help improve processes to achieve better effeciency. The role typically reports to the Communications Society Director of Finance and Administration and manages 0 direct reports. This position works under Moderate supervision required and authority. Key Responsibilities:Specific duties include but are not limited to:· Expense Management and Review – expense report review to ensure compliance with expense submissions and guidelines, budgetary approvals, and proper accounting coding· Sponsorship Agreement Management – agreement compilation, invoice generation, and payment collection, and possibly negotiation of terms and conditions, facilitation of legal review, approvals and signature· Society Finance – collection of information from volunteers and staff annually to compile the Society budget, mid-year review to generate current forecasting, and monthly reviews of all financial transactions to assist with financial reporting overall to society leadership, and detailed reporting to society staff directors, creation of year-end expense accruals· Conference Finance – working with volunteers and staff conference planners to compile up to 35 conference budgets, processing of all expense related transactions, review of bank statements in order to compile conference financial statements (in Quickbooks), international tax (VAT) compliance and reporting, conference closings and audit compliance· Governance – assisting with arranging Finance Committee MeetingsSpecial Projects - work with Finance Director on any special projects as needed
Education and Experience:· B.A. Degree in Accounting· 0-2 years’ experience, preferably, in an Association or Not-For-Profit organization· Working towards Masters, or CPA license helpful Skills & Other Requirements: · Knowledge and experience with Microsoft Office (particularly Excel) and Accounting Systems.· He or she must be a technologically savvy knowledge worker who seeks out technology solutions, including using AI, to business challenges.· Good Communication skills, oral and written. Excellent analytical skills.· Candidate must work effectively as part of a team, interacting professionally with all levels within the IEEE and volunteers.· Knowledge and experience with Quickbooks (specifically “class” accounting)
