Job Description

Accounting Clerk

We are seeking a detail-oriented and dependable Accounting Clerk to support the day-to-day operations of our Finance Department. This position plays an important role in maintaining accurate financial records, processing accounts payable and receivable transactions, supporting purchasing activities, and providing administrative assistance to ensure efficient business operations.

The ideal candidate will have accounting or bookkeeping experience, strong organizational skills, and the ability to work effectively in a collaborative team environment.

Essential Duties and Responsibilities

  • Process Accounts Payable transactions, including entering invoices into the accounting system, processing payments in a timely manner, and resolving vendor questions or discrepancies.
  • Assist with the administration of the Purchase Order process, including recording purchase orders, matching packing slips to purchase orders, and obtaining approvals for payment.
  • Assist with Accounts Receivable activities, including issuing sales invoices and preparing monthly sales summaries.
  • Maintain accurate filing of vendor invoices and other company documents.
  • Administer office supply inventory, maintain transaction records, and record journal entries to allocate costs to appropriate departments.
  • Answer the company's main telephone line and greet visitors in a professional manner.
  • Maintain accounting records, ledgers, spreadsheets, and other documentation as required.
  • Assist with research necessary to resolve routine accounting issues and discrepancies.
  • Perform administrative duties for the Finance Department, including processing daily mail and coordinating the maintenance of office equipment such as printers and postage equipment.
  • Perform other related duties and special projects as assigned by management.
  • Follow all company safety, security, and operational procedures.

Qualifications

Required

  • Minimum of two (2) years of accounting or bookkeeping experience.
  • Knowledge of basic accounting principles and practices.
  • Strong data entry and recordkeeping skills.
  • Proficiency with Microsoft Office applications, including Excel.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple tasks and meet deadlines.

Preferred

  • Associate Degree in Accounting or a related field.
  • Experience with QuickBooks or similar accounting software.

  • Ability to work effectively as part of a team.
  • Dependable with a strong attendance record.
  • Self-motivated with a willingness to learn.
  • Strong interpersonal and communication skills.
  • Ability to follow company procedures and established work processes.

  • Flexibility to work overtime or weekends when business needs require.

Work Environment

  • Work is performed primarily in a professional office setting.
  • Regular use of computers, telephones, and standard office equipment.

Physical Requirements

  • Primarily sedentary work involving prolonged periods of sitting.
  • Occasional standing, walking, bending, reaching, and lifting.
  • Ability to lift up to 25 pounds on an occasional basis.
