We are looking for a proactive and detail-oriented Accounting Admin to support our professional services team. This role is ideal for someone with strong administrative experience, excellent communication skills, and the ability to work independently.
Requirements
Excellent written and spoken English.
Previous experience in a similar administrative role.
Experience within an accounting firm is preferred; however, experience in any professional services environment will be considered.
Ability to learn and adapt to new software and systems.
Proficient in the Microsoft Office Suite.
Friendly, professional, and able to work autonomously.
Strong attention to detail and organisational skills.
Access to a quiet home office or workspace suitable for taking calls.
Confident communicator who is comfortable asking questions and working closely with Directors.
Key Responsibilities
Download, save, and manage ATO correspondence, including drafting client emails.
Monitor and manage the administration inbox, actioning, forwarding, and filing emails as required.
Maintain the training register for professional staff.
Coordinate staff training, including bookings, calendar management, and attendance.
Onboard new clients by collecting required information and setting up records within internal systems.
Maintain and update client databases and contact information.
Schedule Zoom and Microsoft Teams meetings.
Book meeting rooms and coordinate internal meetings.
Manage and maintain Directors’ calendars.
Answer incoming calls, take messages, and direct calls appropriately.
Manage the Tax Agent Lodgement Program, monitor due dates, and follow up with clients regarding unsigned returns.
Manage active FuseSign bundles and archive completed documents.
Update XPM records for signed tax returns and BASs.
Update BGL records for signed financial statements.
Coordinate team meetings and distribute meeting notes and action items.
Maintain staff calendars, including leave, birthdays, and public holidays.
Liaise with external IT providers and assist with general administrative support.
