Position Summary
The Accounting Clerk provides cross-functional administrative and accounting support to the Accounting Department. This role assists with data entry, documentation, reporting, and operational tasks across Accounts Payable, Accounts Receivable, and Procurement while maintaining strict segregation of duties and internal controls. The position does not have authorization authority, cash-handling responsibility, or reconciliation ownership

Essential Duties and Responsibilities (This is not an exhaustive list of all duties/responsibilities. Other duties may be assigned)
- Enter vendor invoices after required approvals are obtained
- Match invoices to approved purchase orders and receiving documentation
- Assemble and organize payment support documentation
- Respond to basic vendor inquiries regarding invoice status
- Escalate discrepancies to appropriate staff for resolution
- Generate customer invoices based on approved billing information
- Apply customer payments to accounts receivable subledger
- Prepare AR aging and collection support schedules
- Maintain customer contact information (non-financial data only)
- Donation record keeping
- Prepare purchase requisitions for review and approval
- Collect and organize vendor onboarding documentation (e.g., W-9s)
- Prepare purchase requisitions for review and approval
- Track receipt of goods and services
- Maintain vendor contact information (address, phone, email)
- Run system reports and prepare schedules for Accountant review
- Upload, organize, and retain supporting documentation
- Assist with audit and reporting preparation
- Provide backup clerical support during peak workload periods
- The General Accounting Clerk may not:
- Approve invoices, purchase orders, credit memos, or write-offs
- Release ACH payments or sign checks
- Handle cash or deposits independently
- Add or modify vendor or customer banking or tax information
- Post or approve journal entries
- Perform bank, AP, or AR reconciliations
- Modify chart of accounts or system permissions
- Perform all work duties and activities in accordance with CC Idaho policies, procedures, and safety practices

Qualifications/Benefits

Qualifications

- High school diploma or equivalent
- Basic understanding of accounting principles
- Strong attention to detail and organizational skills
- Ability to follow established procedures and internal controls
- Proficiency with Microsoft Excel and accounting systems

Preferred
- Associate degree in Accounting, Finance, or related field

- Is frequently required to stand; walk; climb or balance, sit, stoop, kneel, crouch, or crawl; reach with hands and arms
- Must be able to lift and/or move up to 25 pounds

Work in an office or classroom setting; may be exposed to electrical shock and fumes or airborne particles; the work may be stressful; the noise level is moderate to elevated
