The Position

OPSWAT is seeking an Accounts Payable Specialist based in Ho Chi Minh City, Vietnam. This role is primarily responsible for the recording and processing of payments for US and international markets. The Accounts Payable Specialist will report to the AP & Procurement Associate Manager and will prioritize initiatives to ensure delivery of key business objectives. In addition to core AP responsibilities, this role provides occasional support to the procurement function on tasks assigned.

What You Will Be Doing

• Manage the end-to-end accounts payable process, including invoice verification, data entry, and payment processing.
• Verify and reconcile invoices against purchase orders, contracts, and receiving documents to ensure accurate billing and pricing.
• Maintain accurate and up-to-date vendor records, including contact information, payment terms, and tax information in payment platforms and the accounting system.
• Review and reconcile vendor statements and resolve any discrepancies or billing issues in a timely manner.
• Collaborate with internal departments to obtain necessary approvals and documentation for payment processing.
• Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used.
• Assist in the development and implementation of process improvements to enhance efficiency and accuracy within the accounts payable function.
• Provide exceptional customer service to internal stakeholders and external vendors by promptly responding to inquiries and resolving payment-related issues.
• Assist in the year-end IRS Form 1099-MISC/1099-NEC reporting process for the US market, and TDS Declaration for the India market.
• Remain flexible for other duties as assigned; cross-training across roles or departments with similar job duties may be required.

Procurement Support (Ad Hoc)

On an as-needed basis and as directed by the AP & Procurement Associate Manager, this role may also assist with:

• Reach out to vendors to solicit and collect price quotations for goods and services requested by internal teams.
• Compile and organize quote comparisons to support purchasing decisions made by the procurement team.
• Assist in maintaining vendor contact lists and tracking the status of outstanding quote requests.
• Coordinate with vendors on basic order follow-ups, delivery timelines, and documentation as directed.

What We Need From You

• Minimum 3–5 years of working experience in a similar accounts payable or finance environment.
• Fluent in English, with highly effective communication and influencing skills, both verbally and in writing.
• Strong interpersonal skills with the ability to engage with people at all levels across the organization.
• Strong analytical skills and a detail-oriented mindset.
• NetSuite and Tipalti experience is a plus.
• Familiarity with productivity or automation tools (e.g., workflow software, digital finance tools) is a plus.
• Openness to adopting new tools and technologies as the team continues to evolve its ways of working.
