Maxair is looking for an organized and dependable Account Coordinator to help support the day-to-day needs of our Service and Account Management teams.

This role is a key part of keeping work moving. The Account Coordinator will help with quoting, material ordering, scheduling, customer portals, vendor follow-up, billing support, and job tracking. We are looking for someone who can stay on top of details, communicate well, and help make sure nothing falls through the cracks.

The right person for this position is proactive, reliable, and comfortable juggling multiple tasks throughout the day. This role will help improve turnaround time, keep jobs moving from request to completion, and support a better overall experience for our customers.

Key Responsibilities

  • Assist with preparing, sending, and tracking quotes for service repairs and quoted work.
  • Order materials needed for jobs and follow up on delivery status.
  • Monitor parts deliveries to the warehouse and office.
  • Communicate when materials arrive so work can be scheduled quickly.
  • Help schedule quoted jobs, cranes, and subcontractors as needed.
  • Manage customer portal tasks, including:
    • Accepting service call tickets.
    • Accepting quoted job tickets.
    • Updating job status.
    • Uploading service reports and closeout documents.
    • Scheduling and completing preventative maintenance visits.
  • Monitor Power BI tasks and help mark jobs ready to bill once complete.
  • Track open purchase orders and follow up on missing information.
  • Request vendor invoices to help move jobs through the billing process.
  • Coordinate with dispatchers, technicians, vendors, subcontractors, warehouse teams, and account managers.
  • Help keep job records accurate and organized.

Requirements

Qualifications

  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Comfortable using customer portals, spreadsheets, and internal systems.
  • Good written and verbal communication skills.
  • Consistent follow-up with vendors, internal teams, and customers.
  • Experience in HVAC, construction, service coordination, or account support is helpful, but not required.
  • Experience with Power BI, service management software, or customer portals is a plus.
  • Dependable, proactive, and willing to learn.
