Job Description

The Account Administrator II is responsible for processing financial transactions, maintaining accurate account records, and ensuring the integrity of client and transactional data within company systems. This role supports the efficient administration of client accounts through careful recordkeeping, data validation, and adherence to established procedures. As an experienced team member, the Account Administrator II provides guidance and task-specific training to less experienced staff and serves as a resource for operational questions and process support.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Complies with, and stays abreast of, all policies and procedures, federal and state laws applicable to the job.
  • Processes and maintains daily cash receipt and cash disbursement transactions, ensuring accuracy, completeness, and compliance with established procedures.
  • Reviews, validates, and enters client invoice and account information into applicable systems, identifying and resolving discrepancies and escalating issues as appropriate.
  • Performs daily account maintenance activities, including establishing and updating account information, researching exceptions, and making approved account adjustments.
  • Processes payment transactions received through various channels, including lockbox services, electronic payments, checks, wire transfers, ACH transactions, credit card payments, and other payment methods.
  • Reconciles daily cash activity and transaction records to supporting documentation, bank reports, and system balances, researching and resolving variances as needed.
  • Processes returned and exception items, including stop payments, insufficient funds (NSF) transactions, and other payment reversals, ensuring timely and accurate account updates.
  • Monitors and administers suspense and unapplied cash accounts, researching and resolving outstanding items in a timely manner.
  • Prepares, balances, and distributes daily transaction, cash activity, and reconciliation reports to support operational and accounting functions.
  • Maintains accurate records and supporting documentation in accordance with departmental procedures and record retention requirements.
  • Serves as a knowledgeable resource to team members by providing guidance, task-specific training, and operational support as directed by management.
  • Assists with identifying process improvement opportunities and contribute to the efficiency, accuracy, and effectiveness of department operations
  • Researches and resolves moderately complex transaction discrepancies, escalating unusual or high-risk issues to management or the appropriate business partners.
  • Provide, present, and promote the Citizens Experience to all external and internal customers.
  • Other duties as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Associate’s degree (A.A.) or equivalent from two-year college or technical school; or 2 – 3 years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. Ability to apply concepts of basic algebra and geometry, and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER & SOFTWARE SKILLS

Proficiency in Microsoft Office programs.
