Job Description

Hiring Salary: $50,000 - $55,000 annually

This position serves a multifaceted role within the College of Education (COE), encompassing master scheduling, academic advising, operations, and clinical education support. The position leads the planning and implementation of the master scheduling process across all campuses and programs, collaborating with department chairs, program coordinators, and academic program specialists to ensure adherence to deadlines, policies, and procedures. The position serves as the centralized scheduling liaison for COE leadership and the Registrar's Office, monitors academic space utilization, and compiles and analyzes course schedule data to inform college leadership and fiscal personnel.

In an advising capacity, this position guides Leadership Minor students through degree requirements, course selection, and academic planning while tracking student progression and ensuring compliance with academic policies. The position evaluates records for graduation eligibility, manages academic holds, and maintains advising records utilizing university systems including DegreeWorks and Banner. Operationally, this position provides administrative support to the COE Undergraduate Programs leadership team, leads the graduation certification and verification process, and serves as the primary point of contact for the SAS direct email inbox. Additionally, the position supports the Office of Clinical Education by assisting the Clinical Education Directors with tuition vouchers, fingerprinting eligibility, internship records, and substitute coordination.

This position actively contributes to student success initiatives by participating in the COE Advising Orientation/Programs Committee, supporting retention events and orientations, and engaging in professional development to remain current on university policies and advising best practices.

Master Scheduler:

Leads collaboration with department chairs, program coordinators, and academic program specialists across all campuses to coordinate workflow and ensure adherence to deadlines, policies, and procedures.

Oversees the planning and implementation of the master scheduling process, including developing and maintaining scheduling timelines and consolidated master schedules across allcampuses and programs.

Serves as the centralized point of contact for COE leadership, the Registrar's Office, and otherunits on scheduling processes and procedures.

Develops and maintains a college training guide on scheduling best practices.

Evaluates current scheduling processes and recommends improvements to the design and implementation of consolidated scheduling procedures.

Under the direction of the Senior Department Administrator, compiles, analyzes, and prepares reports on course schedule data — including fees, attributes, restrictions, prerequisites, course numbers, and SCH and disseminates findings to fiscal personnel and college leadership. Monitorsand reports on scheduling trends related to space utilization and student demand.

Monitors and oversees academic space utilization in the EDU building to support course scheduling, ensuring dedicated and central spaces are used to full capacity and that EDU courses are assigned to EDU building locations.

Advisor:

Conducts individual and group advising sessions to guide Leadership Minor students on degreerequirements, course selection, academic policies, and campus resources.

Cross-trained in additional majors and minors to provide advising coverage and support student registration during staff absences.

Assists students in identifying long-term goals, career plans, and strategies to meet graduationrequirements within appropriate timeframes.

Tracks student progression, updates degree plans, and ensures compliance with academic policies.

Evaluates academic records for graduation eligibility, assists with petitions, and resolves registration and academic holds.

Maintains detailed advising records, manages student files, and utilizes university systems including DegreeWorks, Banner, and other reporting tools.

Collaborates with advisors, faculty, and administrative staff to support student success.

Engages in professional associations, training, and university-wide advising discussions to remaincurrent on policies and best practices.

Operations:

Provides administrative support to the COE Undergraduate Programs leadership team.

Leads the graduation certification and verification process, ensuring accurate review of student records and timely confirmation of degree completion requirements.

Serves as the primary point of contact for the SAS direct email inbox, managing inquiries and coordinating responses from appropriate staff.

Serves on the COE Student Engagement & Orientation Committee, providing lead support for thescheduling of retention events, orientations, and information session initiatives.

Support for Office of Clinical Education:

Provides administrative support to the Clinical Education Directors, including generating and issuing tuition vouchers, collecting fingerprinting documentation and conducting eligibility checks, maintaining internship records, responding to mileage inquiries, and managing the substitute process and badge coordination.

Minimum Qualifications:

This position requires a Master's degree in education or a field of study related to the academic program, or a Bachelor's degree in those same fields with a minimum of two years of experience.

Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.

• SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
• A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
• (a) Two years of direct experience for an associate degree;
• (b) Four years of direct experience for a bachelor’s degree;
• (c) Six years of direct experience for a master’s degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
• Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Preferred Qualifications:

Knowledge of Peoplesoft, excellent communication skills, ability to perform well in a rapidly changing environment.
