Job Description Summary
The Academic Planning Coordinator is responsible for managing the development, production, and assessment of the College’s academic and continuing education catalogs, maintaining programs of study, course, and related catalog information in Curriculog, Acalog, Colleague, and Navigate, providing technical training on Curriculog and Acalog, and maintaining system integrations for these platforms. This position also coordinates the credit course schedule, implements strategic scheduling principles, and maximizes the use of course scheduling software, including Ad Astra and Colleague. Serves as the primary point of contact for the design, development, and publication of the College’s academic and continuing education catalogs, as well as for credit course scheduling activities.

Minimum Qualifications
EDUCATION AND EXPERIENCE
  • One to two years of college credit (30 credit hours are equivalent to one year) or certification in a related field.
  • Three years of experience in education; experience in higher education preferred.
  • Associate’s degree or higher preferred
  • Experience using Content Management Software such as Acalog, Curriculog and course scheduling at an educational institution preferred.

ESSENTIAL DUTIES
  • Coordinate the scheduling of all credit courses, including adding, modifying, and removing course sections in Colleague; publishing the credit course schedule; and ensuring compliance with established scheduling procedures.
  • Review the credit course schedule each semester to ensure accuracy and consistency.
  • Support strategic scheduling initiatives in collaboration with the Teaching, Learning, and Student Support ( TLSS) area
  • Oversee classroom scheduling for credit courses and maintain Ad Astra’s room scheduling software.
  • Collaborate with Workforce Development and Continuing Education course scheduling staff.
  • Liaise with the Student Accounts office to establish billing requirements for all course sections, including sponsored sections.
  • Serve as the main contact for Acalog and Curriculog, to include maintenance, technical training, and troubleshooting.
  • Coordinate the annual editing and publication of the College’s academic and continuing education catalogs.
  • Edit catalog content related to curriculum, academic regulations, and associated terminology across all functional areas.
  • Respond to askPGCC tickets requesting catalog edits or updates submitted outside the annual catalog publication cycle.
  • Oversee and manage the integration management processes for Curriculog, Acalog and Colleague using Ethos.
  • Collaborate with the Curriculum Committee Co-Chairs, TLSS, and Student Affairs to ensure the accuracy of curriculum and related content in Acalog, Curriculog, and Colleague.
  • Update programs of study information, including degree requirements, in Colleague and Navigate in conjunction with the annual academic catalog update.
  • Recommend and implement process improvements to improve workflow, data collection, editing, processing and publication of college catalogs.
  • Collaborate with Creative Services and Marketing to ensure curriculum-related information is accurately synchronized from the catalogs to the College website.
  • Perform other duties as assigned.

Job Requirements
PHYSICAL REQUIREMENTS
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.

OTHER REQUIREMENTS
  • Hours: 10:00 a.m. – 6:00 p.m.
  • Ability to communicate effectively in spoken and written standard English.
  • As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
  • A background investigation will be conducted prior to the offer of employment. A signed authorization for the release of personal information will be required if selected for an interview.
