Job Description
Reports to: Assistant Dean of Pre-College
Manages academic systems and student status for the Pre-College program. Coordinates faculty mid-term academic reports, evaluations, hiring logistics, and payroll support, and manages elective and secondary lesson registration. Leads the planning and execution of major academic events. This position works a Tuesday-Saturday work week during the academic year (September-May), and a Monday-Friday work week during the summer months (June-August).
Responsibilities:
- Oversees student records, course setup and registration in Campus Solutions, student grading reports, student absence notifications, and follow-up on student leaves of absence and withdrawals.
- Develops and manages individual student and faculty schedules, maintains the master schedule, and oversees teaching space assignments in accordance with academic policies in the Pre-College Student and Parent Handbook.
- Manages student academic and enrollment status and supports related decision-making and communications.
- Oversees elective course and secondary lesson registration and coordinates related logistics.
- Coordinates mid-semester faculty reports and end-of-year faculty evaluations, ensuring timely collection, follow-up, and communication.
- Manages payroll and Canvas-related processes for student and faculty use, and coordinates with relevant offices on administrative needs related to curriculum delivery, including Music Theory, English for Musical Purposes, studio and classroom faculty, and other academic areas.
- Leads the planning, coordination, and execution of major Pre-College events and milestones, including assessment day, orientation, graduation ceremony, and other academic or student-facing events.
- Supports the Assistant Dean in day-to-day academic operations of the division and helps ensure smooth implementation of program priorities and initiatives.
- Serves as a key liaison among Pre-College leadership, faculty, students, and parents, handling communications and routine matters with professionalism, discretion, and sound judgment.
- Helps address and resolve day-to-day issues involving students, parents, and faculty, escalating matters as appropriate.
- Collaborates closely with the Pre-College team to support the overall operation of the division, including performance-related activities as needed.
- May supervise or help coordinate the work of student workers, part-time staff, or temporary support in connection with divisional operations and events.
- Performs other duties as assigned by the Assistant Dean.
Qualifications:
- Bachelor’s degree required; master’s degree strongly preferred.
- 3-5 years of relevant professional experience in academic administration, arts administration, education administration, or a related field.
- Background in classical music or music education strongly preferred.
- Demonstrated maturity, professionalism, and sound judgment in handling sensitive situations and confidential matters.
- Bilingual proficiency in Chinese and English required.
- Strong organizational skills and high attention to detail.
- Experience with academic systems, student information systems, and standard office software preferred.
