Job Description
This is a temporary position that reports to the Associate Provost for Academic Affairs Planning & Operations. The Academic Affairs Coordinator provides administrative support to the operations of Academic Affairs. This position provides necessary organizational support, completes administrative tasks, and projects a professional image of Academic Affairs through all correspondence and interactions (in-person, email, phone, virtual meetings).
Qualifications
ESSENTIAL JOB FUNCTIONS:
- In collaboration with the Schools, Associate Provost, and Vice Provost, assist with the coordination and execution of assessment reports, program reviews and visits.
- Coordinate the execution of select strategic initiatives as assigned by the Associate Provost, Vice Provost, and Provost.
- Coordinate quarterly Academic & Campus Affairs Board of Trustees Committee meetings. Responsibilities include preparing agendas under the advisement of the Provost; coordinating presenters preparing meeting materials; taking minutes; and distributing related communications.
- Coordinate Academic Affairs communications including mass communications and mailings.
- Update and develop content for the CalArts website and intranet.
- Provide support for Provost Office position searches including room scheduling, candidate logistics, arranging food service, staffing, event communications, etc.
- Coordinate Office of the Provost hosted events including annual faculty welcome back reception.
- Provides backup support to the Executive Assistant to the Provost.
- Represent the Office of Academic Affairs in a professional manner to all constituencies
- Other duties as assigned.
SKILLS/ABILITIES:
- Proven ability to manage independently a variety of projects with multiple deadlines;
- Strong interpersonal, communication (including good writing and proofreading skills), diplomacy, and organizational skills;
- Proactive and independent approach to work;
- Communicates well with others, both verbally and in writing, and be able to effectively interact with administration, faculty, staff, and other outside contacts;
- Ability to coordinate and maintain relationships with other departments to ensure efficient operations;

EDUCATION:
EXPERIENCE:
- Two to three years working in an office environment (higher education/arts institution environment preferred)
