General Summary

Supports the organization's team members and leaders in relation to absence management in accordance with applicable regulatory requirements and organizational strategy. Completes timekeeping responsibilities for team members in approved leave of absence status. Provides administrative support to Time Away from Work benefit programs.

Duties and Responsibilities

Remote Work Capable

Essential Functions:

  • Serves as a subject matter expert in Time Away from Work benefit workflows as assigned.
  • Leverages third party leave administration vendor data to identify team members in an approved leave status. Performs timecard entry for missed work time because of an approved continuous or intermittent leave.
  • Responds to team member and leader inquiries and concerns regarding leave of absence processes. Provides real-time support to team members and leaders regarding leave processes.
  • Serves as organizational liaison to third party leave administration vendor to escalate and resolve concerns.
  • Maintains knowledge of HR Absence Management policies, workflows, and record keeping requirements. Provides support in up-to-date standard operating procedures.
  • Ensures team member experience is considered at forefront of all workflows. Identifies gaps, areas for improvements and ways to improve team member service.
  • Demonstrates fiscal responsibility through identification and implementation of process improvements to enhance efficiency.
  • Provides support and guidance to team members and leaders related to policy, absence plans, absence balances and processes.
  • Utilizes reporting and other sources of information to evaluate timekeeping needs, including changes to approved leaves and approved intermittent call-offs.
  • Maintains positive relationships with peer teams such as Payroll, UKG, HR Service Center, etc. to ensure collaboration on absence-related workflows.
  • Performs routine audit of leaves to reflect correct assignment status and daily disability entry ensuring the team member’s time record is an accurate depiction of applied hours to correct day on the team member schedule.
  • Assists with the coordination of the return-to-work process.
  • Maintains accurate information within systems such as Oracle, UKG, etc..
  • Supports department projects and participates in work teams as assigned. Actively participates in departmental meetings and discussions.
  • Completes assigned tasks independently. Exercises sound judgement and utilizes critical thinking skills when problem-solving.
  • Escalates routine issues and questions to the Senior Absence Management Coordinator. Assists in troubleshooting to resolve issues.

  • Participates in educational programs and in-service meetings.
  • Provides outstanding service to all customers; fosters teamwork; and practices fiscal responsibility through improvement and innovation.

Qualifications

Minimum Education:

  • High School Diploma or GED Required

Work Experience:

  • 2 years relevant experience Required
  • Experience in Absence Management such as leave management or other time away from work benefits Preferred

Knowledge, Skills, and Abilities:

  • Excellent interpersonal/communication skills
  • Proficient computer skills with ability to learn new computer applications
  • Knowledge of Lawson, Oracle or other HRIS and UKG Kronos Timekeeping or similar systems/applications
  • Microsoft Office skills
  • Attention to detail
  • Critical thinking skills
  • Ability to work both independently and in a team environment
  • Ability to be agile in response to new and changing procedures
