Your role at VBA:

As a Medical Scheduling Coordinator, you will create and coordinate weekly schedules for our therapists and clients, matching them together based on location and therapy needs. If you have high-volume scheduling experience and enjoy ‘putting the pieces of the puzzle together’, you’ll thrive in this role.

You’ll make an impact by:

  • Ensuring clients are scheduled with the appropriate therapist and at the correct location, based on both parties’ weekly availability and staffing needs
  • Entering client and staff availability within our scheduling software platform, modifying and updating schedules as necessary
  • Providing schedule updates with families and staff as needed via phone, text and/or email
  • Communicating with insurance companies regarding client benefits as needed
  • Evaluating current and future staffing needs, frequently checking in with VBA’s recruiting team regarding these needs
  • Tracking and reporting on critical department and organizational metrics
  • Completing special projects and other duties as assigned
  • And most importantly, you’ll play an essential role in helping kids with autism receive life-changing therapy services

Requirements:

  • 2+ years of scheduling experience (ABA scheduling is highly desired, but not required!)
  • Fluent in Spanish, with ability to speak with Spanish-speaking families over the phone regarding their schedules and session updates
  • Excellent interpersonal, customer service, written, and verbal communication skills
  • Detail-oriented, with exceptional organizational skills and ability to juggle multiple responsibilities and deliver accurate results while consistently meeting deadlines
  • Proficiency in Excel and Google Suite, and easily able to learn new software systems
  • Availability to work an 8-hour time period between our business hours: 700am - 5:00pm PST
