12-Month Administrative Assistant

Sugartown Elementary School

7:45 am - 3:45 pm

Salary Range: $40,000 - $50,000

Great Valley School District is seeking a highly organized and detail-oriented Administrative Assistant (12-Month) to support the daily operations of Sugartown Elementary School. This position serves as a key point of contact for students, families, staff, and administrators, providing essential clerical, organizational, and communication support in a fast-paced school environment

The successful candidate will help maintain student records, coordinate attendance and substitute coverage, support school events, and contribute to a welcoming and professional office atmosphere

Key Responsibilities

  • Maintain accurate student records, attendance, and enrollment information.
  • Coordinate substitute coverage using Frontline Absence Management.
  • Support communication with families and staff through Parent Square and other platforms.
  • Prepare, distribute, and manage operational documents and correspondence.
  • Assist with report cards, testing administration, and state-required documentation.
  • Coordinate parent-teacher conferences and school events.
  • Monitor attendance, communicate with families regarding absences, and prepare attendance-related notifications.
  • Manage student records, filing, scanning, and document processing.
  • Maintain website calendar updates and distribute school communications.
  • Maintain and organize recess/lunch equipment, safety supplies, and classroom materials
  • Assist with annual events including Field Day, holiday activities, and student celebrations.
  • Uphold confidentiality and provide excellent customer service to students, families, and staff.
  • Perform other duties as assigned

Qualifications

  • High school diploma or equivalent required; associate's degree preferred
  • Experience in an administrative or school office setting preferred
  • Proficiency with Microsoft Office and office technology systems
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information professionally
  • Strong collaboration, problem-solving, and interpersonal skills.
  • Commitment to creating a respectful, welcoming, and supportive school environment
