Job Description

Provides direct advanced administrative and secretarial support to medium and large departments and accounts for the coordination and supervision of office procedures and personnel to ensure the most cost effective and efficient method of administration.

Management Scope: May serve as the first line supervision of a clerical support staff.
1. Researches, collects, and analyzes data to complete a variety of projects, reports and inquires.

2. Serves as a liaison between staff, management and other departments to facilitate functions and flow of information.

3. May supervise or provide lead support to other support staff in distributing work assignments, training new employees, and assisting with daily assignments.

4. May assist with budget preparation and monitoring and acquisition of supplies and services.

5. Maintains confidential files, processes mail and answers telephone calls and inquires.

6. Schedules appointments, makes travel arrangements, and organizes and manages calendars and activities.

7. Performs other duties as assigned. Education, Experience and Training:
Education and experience equivalent to an Associates degree from an accredited college or university in Business Administration or in a job related field of study. One (1) year of work related experience.

Juvenile Department:
“Position requires working with juveniles who may have committed dangerous/aggressive acts; should possess a high tolerance for working in an emotionally demanding/stressful work environment.”

Special Requirements/Knowledge, Skills & Abilities:
Ability to type 35 wpm. Candidates for all clerical, administrative and/or secretarial positions will be required to take and pass at least one skill(s) test(s) which will be determined by the Elected Official or Department Head based on the position and the operational needs of the department. Testing may include one or more of the following: 10-key, Coding, Data entry, Filing, Grammar, Math, MS Excel, MS Word, Proof Reading, Spelling, Sorting, Timed Typing (3 minute). Skilled in the use of standard software applications. Ability to effectively communicate both verbally and in writing, and establish and maintain effective working relationships with employees, departments and the general public.

Depending on the location, this position may require the incumbent pass an extensive background investigation.

Physical/Environmental Requirements:
Standard office environment. Requires prolonged sitting, standing, walking and ability to lift and carry up to 25 lbs., unassisted.
