Job Description

Job Purpose:

To plan and manage events

Key Result Areas:

  • Develop and implement long-term strategies and event plans that align with QF’s mission, ensuring all events contribute to the organization’s strategic objectives and reinforce its brand identity
  • Conceptualize, plan, and oversee production activities across Qatar Foundation (QF) to ensure the successful delivery of impactful events within established timelines, budgets, and quality standards
  • Support the Manager in the development and refinement of Standard Operating Procedures (SOPs), policies, and event formats, ensuring strict adherence to established processes
  • Supervise, implement, and execute comprehensive event project plans for all event requests across QF, ensuring the scope of work is well-defined for community-related, national-level, and corporate events
  • Manage end-to-end planning and logistics for each event, including venue selection, entertainment, program setup, invitations, guest lists, catering arrangements, audiovisual requirements, media services, webcasting, photography, security protocols, promotional signage, messaging opportunities, documentation, and gift distribution
  • Oversee all aspects of event execution, including venue selection, reservations, and technical setups
  • Engage with QF Communications and other internal units to secure adequate manpower and resources, ensuring all operational needs are met for flawless event execution
  • Manage the relationship with internal and external event stakeholders to ensure smooth coordination and collaboration
  • Lead the assigned team, providing them with support and guidance to plan and deliver projects
  • Monitor and track event requests from end-users through appropriate communication channels. Follow up on outstanding tasks and submit Monthly Information Reports (MIR) to the Manager
  • Conduct post-event evaluations based on established goals and objectives, using both qualitative and quantitative metrics to assess success
  • Ensure all activities comply with applicable legal, regulatory, and organizational standards
  • Facilitate internal audits. Ensure the implementation of corrective actions and monitor their effectiveness
  • Oversee daily operational activities and projects within the events team, providing regular progress reports and outcome analyses for senior management review
  • Collaborate with the Manager to develop annual business plans, KPIs (key performance indicators), scorecards, and departmental budgets, ensuring alignment with QF’s strategic goals
  • Perform other reasonable tasks as assigned by supervisor

Minimum Knowledge, Skills & Experience:

  • Bachelor’s degree in Event Management, Communications, Marketing, Business Management, or a related field
  • 6-8 years of relevant full-time work experience, including 2 years in event, initiative, or program leadership within a large organization
  • Experience in strategy development, business plan development, budgeting, and quality management
  • Current knowledge of theory & practices in analysis, concept development, change management, coaching & mentoring, performance control, data assessment, interpretation, and reporting
  • Exemplary interpersonal communication, presentation, conflict resolution, teamwork, customer service, and negotiation skills
  • Excellent speaking and writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is preferred
  • Proficiency in MS Office applications
