Job Description

Provides high level direct advanced administrative, managerial secretarial support to the department and accounts for the coordination and supervision of office procedures and personnel to ensure the most cost effective and efficient method of administration.

Management Scope: Supervises exempt and non-exempt staff.
1. Plans, evaluates, establishes and implements processes, policies, procedures and systems to improve departmental office operations. Researches, monitors and ensures changes in applicable laws, regulations and directives that impact the department. Ensures compliance with reporting requirements and legislative mandates. Oversees and supports efficient operations of the departmental records management, including files, reports and storage.

2. Serves as a liaison between staff, management, other departments and the general public to facilitate functions and flow of information.

3. Hires and trains staff, coordinates work assignments to ensure adequate staffing, evaluates performance, initiates disciplinary actions, coordinates leave and maintains time and attendance reports.

4. Develops and implements office administrative policies and procedures to ensure operating at maximum efficiency. Answers questions on policies and procedures. Evaluates operations and makes recommendations for improvement. Handles and resolves personnel management issues, develops performance standards and measures to ensure resources are allocated effectively.

5. Maintains confidential files, processes mail, and answers telephone calls and inquires.

6. Assists in budget preparation and monitoring and acquisition of supplies and services.

7. Schedules appointments, makes travel arrangements, and organizes and manages calendars and activities.

8. Attends meetings, community meetings, seminars, conferences and professional association meetings. May coordinate community service programs and activities.

9. Performs other duties as assigned. Education, Experience and Training:
Education and experience equivalent to a Bachelor’s degree from an accredited college or university and one (1) year of job related experience.

Special Requirements/Knowledge, Skills & Abilities:
Skilled in the use of standard software applications. Ability to effectively communicate, both verbally and in writing, and establish and maintain effective working relationships with employees, departments and the general public.

Physical/Environmental Requirements:
Standard office environment.
