料飲部、料飲部長をサポートするパーソナルアシスタントを募集します。

≪仕事内容≫

料飲部長（DOFB）の業務を円滑に進めるため、各種事務業務および社内外のコミュニケーションに関するサポートを担当していただきます。

主な業務内容は、稟議書類の作成、各種申請書や経費精算書の管理、社内イベントや会議における通訳・翻訳業務などです。また、会議の議事録管理、契約書の草案確認、各部門からの問い合わせ対応、オフィスマネージャーの出勤管理なども行います。

さらに、新任マネージャーや他のパーソナルアシスタントの受け入れ・業務習得のサポートに加え、スタッフ紹介記事や社内ニュースレターの作成など、部門内の円滑なコミュニケーションを支える業務も担当していただきます。

本ポジションでは、周囲をサポートすることが得意で、計画的に業務を進められる方、また細やかな気配りができる方を求めています。

【言語サポート】

• 会議やイベントにおいて、料飲部長の英語から日本語、日本語から英語への逐次通訳を行う。
• 料飲部長、料飲副部長、サービスマネージャーのゲスト関連のお問い合わせの英語から日本語、日本語への翻訳を支援する。
• 他の部門からの問い合わせに対応する。

【秘書業務】

• 新入マネージャーおよび秘書の入社手続きを支援する。
• 料飲部長から指示された秘書業務を行う。

【財務】

• 損益計算書を理解し、各店舗の月次目標を把握する。

【ブランド基準】

• IHGブランドにおける基準を熟知し、料飲部門の基準の維持をサポートし、適切な研修を通じてチームメンバーが基準について十分な知識を持つようにする。
• ブランド基準に従った必要書類が各店舗で作成され、使用されていることを確認する。

【ゲストとスタッフの安全】

• 施設の安全、応急処置、火災および緊急時の手順に精通していること。

　　関連するトレーニングに年1回以上参加し、情報を更新すること。

• 注意義務を認識し、職業安全衛生法、ポリシー、手順を遵守すること。
• すべてのスタッフが必要な健康と安全のチェックを受けることを確認し、

　　緊急用品が適切に保管されていることを確認すること。

【CAPEX / アプリケーション / 議事録】

• 購買システムおよびアプリケーションを理解し、購入依頼書、制服、

　　その他のゲスト用品の作成ができる。

• 各種申請書（稟議書、カッコ申請書、チェックシートなど）に関する

　 店舗からの問い合わせに対応し、適切に管理および保管する。

• 稟議書に添付する契約書の草案を検討し、管理する。
• 料飲部長が参加する、さまざまな会議の議事録を作成する。
• スタッフスポットライトや料飲ニュースレターを作成、更新する。
• 新入社員の採用日に必要な申請の準備をサポートする。
• 購買部門と連絡を取り合い、見積、発注、納品、確認、実施まで購買業務を担当する。

The Personal Assistant will provide administrative support and facilitate internal and external communications to ensure the smooth and efficient operation of the Food & Beverage Division.

Key responsibilities include preparing approval documents, managing various applications and expense claims, and providing interpretation and translation services at internal meetings and events. The role also involves preparing meeting minutes, reviewing draft contracts, responding to inquiries from other departments, and managing attendance records for the Office Manager.

In addition, the successful candidate will assist with the onboarding and training of newly appointed managers and other Personal Assistants, as well as prepare staff spotlight articles and internal newsletters to promote effective communication within the division.

We are seeking a well-organized and detail-oriented individual who enjoys supporting others, can manage multiple tasks efficiently, and demonstrates a proactive and considerate approach to work.

1. Language Support

• Provide consecutive interpretation for the Director of Food & Beverage at meetings and events, translating from English to Japanese and Japanese to English.
• Assist with translating guest-related inquiries and communications for the Director of Food & Beverage, Assistant Director of Food & Beverage, and Service Managers, from English to Japanese and Japanese to English.
• Respond to inquiries from other departments and facilitate effective communication.

2. Administrative and Secretarial Duties

• Assist with onboarding procedures for newly appointed managers and Personal Assistants.
• Perform secretarial and administrative duties as assigned by the Director of Food & Beverage.

3. Financial Responsibilities

• Understand profit and loss (P&L) statements and be familiar with the monthly targets of each restaurant and bar outlet.

4. Brand Standards

• Maintain a thorough understanding of IHG brand standards and support the Food & Beverage Division in ensuring compliance with these standards.
• Ensure that team members are adequately informed of brand standards through appropriate training.
• Verify that all outlets prepare, maintain, and use the required documentation in accordance with IHG brand standards.

5. Guest and Colleague Safety

• Maintain a thorough understanding of premises safety, first aid, fire safety, and emergency procedures.
• Participate in relevant training at least once a year to ensure that knowledge and information remain up to date.
• Understand the duty of care and comply with applicable occupational health and safety laws, policies, and procedures.
• Ensure that all colleagues complete the required health and safety checks and that emergency supplies are properly stored and maintained.

6. CAPEX, Applications, and Meeting Minutes

• Understand the purchasing system and related applications, and prepare purchase requisitions for uniforms and other guest supplies.
• Respond to inquiries from individual outlets regarding various application documents, including approval requests (Ringi), other internal applications, and checklists. Ensure that these documents are properly managed, filed, and retained.
• Review and manage draft contracts to be attached to approval requests (Ringi).
• Prepare and maintain meeting minutes for various meetings attended by the Director of Food & Beverage.
• Create and update staff spotlight articles and the Food & Beverage newsletter.
• Assist in preparing the necessary applications and documentation for new employees on their joining date.
• Coordinate with the Purchasing Department and manage purchasing-related activities, including obtaining quotations, placing orders, tracking deliveries, verifying received items, and confirming completion and implementation.
